Office Secret Santa, without the headache
A gift exchange between colleagues brings a team together, as long as the rules are clear from the start. Here are the steps you can follow as the organiser, from budget to exchange day.
1. Set the date and budget
Pick the exchange day first (usually the team's Christmas party) and announce it early, so everyone has time to buy a gift.
The budget should be comfortable for everyone, not just the people suggesting it. A small fixed amount works better than a wide range: nobody feels awkward and the gifts come out comparable.
2. Make it opt-in
Ask who wants to take part instead of signing up the whole team. Some colleagues don't celebrate Christmas or would rather skip gift exchanges, and that's fine.
3. Draw names online
Names from a hat don't work when half the team is remote. With Secret Santa you add your colleagues' names, press “Draw names” and get one private link per person. Each person opens their link and sees only who they're buying for.
The organiser doesn't need to know the pairs: in live mode the dashboard shows only who has opened their link and when, so you know who to nudge.
4. Ask for wishlists
A short wishlist saves everyone from guessing. Each person can write ideas on their own page, and their Secret Santa sees them without learning who wrote them.
If something's unclear, the Santa can send an anonymous question straight from their page (say, “What size do you wear?”) and the answer comes back anonymously too. The conversation is encrypted: neither the organiser nor the server can read it.
5. Remote colleagues
- Agree whether gifts are posted or handed over at the next in-person meetup.
- If you post them, everyone can add a shipping address on their own page: only the person buying for them sees it, not the whole team chat.
- For an online party, open the gifts one by one with cameras on.
6. Short rules that avoid awkwardness
- Stick to the budget, up or down.
- No embarrassing gifts or jokes that might offend.
- No alcohol unless you know the person enjoys it.
- Keep it secret until the exchange: don't ask “who did you get?”.
FAQ
What budget suits an office Secret Santa?
One that anyone on the team can afford without thinking twice. Decide it together or anonymously, then set it on the group so everyone sees it on their page.
What if some colleagues work remotely?
Draw online and send each person their private link on Slack, Teams, WhatsApp or email. The link works on any phone or laptop, with no account and no app.
Can the organiser take part too?
Yes. In live mode the organiser can't see the pairs either, so they can be drawn like anyone else.
What if someone drops out after the draw?
Remove them and draw again. In live mode the old links are revoked immediately and wishlists are kept; then send the new links.
Does it work for a big company?
It's free for up to 25 people. For bigger groups, Pro (up to 50 people, €4.99) and company plans are coming soon, with an invoice and one payment per event: up to 100 people €19, up to 300 people €49, up to 1,000 people €99.
